Job description:

Hexens is seeking a highly organized and detail-oriented Business operations associate to join its team. This role will support the C-level in organizing events, preparing docs and offers, managing and tracking client relations, setting up new business processes, researching on best practices and helping with time management, among other responsibilities.

Job responsibilities

  • Assist in planning and executing internal and external events, including conferences, webinars, and workshops
  • Maintain a comprehensive and up-to-date database of job candidates’ profiles, client information, and related documents
  • Track client relationships, ensuring timely and professional communication with stakeholders
  • Oversee payment tracking and processing, ensuring accuracy and compliance with financial policies and guidelines
  • Coordinate with various departments to gather necessary information and materials for events and client interactions
  • Develop and maintain a well-organized filing system to access critical information and documents easily
  • Assist in preparing reports, presentations, and other materials for internal and external meetings
  • Contribute to continuously improving operational processes and procedures to enhance efficiency and effectiveness
  • Perform other administrative tasks and ad-hoc duties as assigned by the management.

Required qualifications

  • Minimum 1-2 years of experience in operations, administration, or a similar role.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Strong interpersonal and communication skills, both written and verbal, with fluency in Armenian, English and Russian; proficiency in an additional language is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Figma, experience with CRM systems, and project management tools.
  • Quick learner with adaptability to new challenges and staying current with industry trends.
  • Ability to work independently and collaboratively within a team, demonstrating strong team-player qualities.
  • Detail-oriented and proactive problem solver with a strong sense of ownership.
